A congress management system set up for each congress with its own data, branding, and design: it runs the entire process from a single source, from registration and payment to peer review, certificates, and promotional design. It has been used live at both international and national congresses.
Organizing a scientific congress means coordinating dozens of tools that don't talk to each other: registrations live in a form, payments in a separate virtual POS panel, abstracts in email threads, peer reviews in spreadsheets, and hotel bookings in manually maintained lists. When fees that vary by participant type, taxes, multiple currencies, and early and late registration periods are managed by hand, both the risk of errors and the reconciliation workload grow, and no one can guarantee that the amount shown on screen matches what was actually charged. Abstract review must be fair, confidential, and traceable, with every reviewer's contribution recorded individually; on top of that, personal data must be protected in line with KVKK (Turkish Personal Data Protection Law No. 6698), and all of these steps must come together as a single, consistent experience for participants. Most organizations handle this complexity by splitting it across agencies and scattered software, resulting in high costs, duplicated data, and a process that cannot be audited.
EventON is not a website locked to a single congress; it is a congress management system configured for each event around that congress's participant types, fees, program, branding, and visual design, and it has been customized and deployed for both international and national congresses. The system brings every step of congress operations together on one platform as interconnected modules: registration, pricing, payment, peer review, accommodation, the scientific program, and certificates all run on shared data, so information is entered once and stays consistent across every module. All fee and tax calculations are re-verified by the system, so the amount a participant sees is always exactly the amount charged. Payments are taken through the bank's 3D Secure payment infrastructure or by bank transfer; abstract review follows the blind review principle with a multi-criteria, structured scoring rubric, and scores are calculated in the system so they cannot be altered from outside. Personal data is stored encrypted, role-based permissions are re-verified live on every critical action, and KVKK privacy notices and explicit consent flows are built into the platform. Online, hybrid, and in-person events are managed on the same infrastructure, with secure live streaming, a participant portal that requires no account, and real-time on-site attendance tracking. Our service doesn't stop at software: the same team also produces the event's entire visual identity and promotional materials with a cohesive brand language, from logo and theme design to posters, brochures, program booklets, digital banners, and promo videos, so every touchpoint is consistent, from registration to the screen and from print materials to social media.

Participant types and fee rules are defined in the admin panel without touching code, and early and late registration periods are managed through the active rule set. As participants make their selections, fees and taxes are calculated live, line by line, while the amount to be charged is always recalculated from scratch by the system; no amount displayed on screen is ever trusted blindly.
Card details never touch the platform; they are processed on the bank's 3D Secure payment page. Bank transfer/IBAN as an alternative, multiple currencies, and automatic tax handling are built in. The actual payment result is confirmed through the bank's independent inquiry service, every payment is reconciled one-to-one with its record, and failed payments can be safely retried.
The entire review process is managed end to end, from abstract submission to final decision: abstracts are received with a unique tracking number, assigned to reviewers, and scored against a multi-criteria, structured rubric with reviewer identities kept confidential (blind review). Scores are calculated in the system so users cannot alter them, each reviewer's contribution is recorded separately, and scores are aggregated and ranked by topic. The loop closes with the editor's decision, reasoned revision requests, and a secure revision link unique to each author; every step is auditable and reportable.
Hotel and room type selection, per-night pricing, and accompanying guests are built into the registration flow as a single verified total; check-in and check-out dates can only be chosen within the permitted booking window and night rules. Complimentary accommodation windows are calculated fairly per night, and all amounts are calculated by the same system for both the preview and the charge.
Multi-hall, parallel programs are managed in one system through a day, hall, and session hierarchy, with session types, moderator/speaker/coordinator roles, and nested sub-sessions. Organizing and scientific committees, invited speakers, and announcements are published from a single source; content owners update them through role-based permissions without waiting on the technical team, and changes reach participants instantly.
In-person, online, and hybrid formats come together on one infrastructure: participants join a secure, authorized live stream directly from their browser without installing an app. On-site attendance is tracked in real time, and administrators get a live attendance dashboard showing attendance rates, no-shows, and crowd distribution.
Without creating an account, participants sign in to the portal with email verification alone and manage their registrations, session details, documents, and notification preferences in one place. Verifiable PDF certificates of attendance, tied to actual attendance, are generated and distributed automatically, and their validity can be checked online at any time.
Automatic email, SMS, and push notifications go out to participants and organizers at every critical point in the registration, payment, and review processes, and every message sent is logged. Scheduled reminders are sent automatically in the background, and multi-step automation flows trigger based on events, eliminating repetitive manual communication.
Admin, editor, and reviewer permissions are re-verified live on every critical action; a deactivated user loses access on their very next action, and safeguards prevent the last administrator from being accidentally locked out. Registration, payment, abstract, and review data can be exported as multi-sheet Excel reports restricted by role, and an audit trail records who did what and when.
Personal data is stored encrypted and masked on operator screens; uploaded files are validated by their actual file type, and the system is protected against automated abuse and attack attempts. KVKK privacy notices, versioned explicit consent, cookie preferences, and data subject requests are managed end to end with audit-ready evidence.
